Making changes to a booking

Before the vehicle goes out, almost anything on a booking can change. Click Edit, make the changes, Save. The rule to remember is that Torque keeps the prices the customer was quoted unless you ask it to reprice.

Change How What happens to the price
Dates and times Out and Back in the Booking panel Per-day elements are recalculated for the new number of days at the rate already sold. Flat fees stay
Pickup lead and return lag Pickup Lead Time and Return Lag Time None. The reservation grows or shrinks around the hire
Products and options Tick, untick, add, remove, change Quantity, mark No Charge An added product is priced from the catalogue as it stands today. Existing lines keep their prices
Drivers Add, remove, change dates of birth or licence A driver fee element may be added or removed automatically to keep every driver seated
Customer or contact Customer panel None. Possible until check-out, and only while nothing has been invoiced
Payment term PREPAID or PAY_AT_PICKUP None
Bond Method Payment or pre-authorisation None
Class Class in the Booking panel Your choice at Save, see below

Save applies everything in one go. If any part is refused, nothing is saved and the field at fault is outlined.

Changing the Class and pressing Save asks which of two things you mean:

  • Change Class sells the new class at the prices already on the booking. Use this for a goodwill upgrade.
  • Change Class and Reprice sells the new class and prices every line again from the catalogue. Use this when the customer is paying for the upgrade.

If a vehicle is assigned, the plan moves onto a vehicle of the new class. If none is free for the dates, the change is refused.

A date change can take the booking outside the band its price was sold under, for example from a weekly rate to a monthly one. Torque then cannot recalculate the days at the old rate and Save shows the message:

This change requires a reprice of the booking.

Continue reprices the whole booking from the catalogue and saves. Cancel keeps the booking as it was. Tell the customer before you continue: their total will change.

Reprice in the header prices every standing line from the catalogue as it stands today, without changing anything else. Use it when the customer asks for the current promotion, or after the administrator has corrected a rate. Reprice and Change Class are available on DRAFT and CONFIRMED bookings only. Once the vehicle is out, a change is sold as an extension instead (chapter 9).

Each class has a minimum price. A save or reprice that takes the booking below it shows a Floor Price warning. Saving past the warning needs the pricing override, which not every role has. If you do not have it, ask a manager to save the change.

A change made after an invoice has been issued is not lost. It shows on the Settlement tab as unbilled, positive or negative, and is billed on the next invoice or credit note (chapter 7).
