Handback
Check In closes the physical side of the hire. The vehicle’s return condition and readings are recorded, excess kilometres are worked out, and the booking goes from ACTIVE to COMPLETED. Money is not taken here; that is chapter 11.
Where it runs
Section titled “Where it runs”Open the booking, then Workflows, then Check In. As with Check Out, the side panel asks whether to Continue here or send the steps to a tablet in the yard.
The steps
Section titled “The steps”| Step | Who | What is recorded |
|---|---|---|
| Vehicle | Yard | The same walkaround as at check-out: pictures of Front, Left, Right and Back, new damage marked on the Vehicle top view and photographed, Odometer, Fuel Level, Notes. Marks from check-out are already on the drawing, so only new damage is added |
| Check In | Agent or Yard | The readings just taken, the kilometres driven against the kilometres granted, and what the excess comes to. The numbers run as you type, before anything is saved |
Press Check In to post it. The booking is COMPLETED and the vehicle is free for its next booking after the return lag. Any excess kilometre charge lands on the booking as unbilled.
Odometer and fuel
Section titled “Odometer and fuel”- The odometer reading must be equal to or higher than the one at check-out. Torque refuses a lower figure, so check for a mistyped digit.
- The fuel level is recorded against the booking and the vehicle. Torque does not charge for fuel on its own. If your branch charges a refuelling fee, add the product to the booking after check-in and bill it with the final invoice.
Excess kilometres
Section titled “Excess kilometres”Kilometres driven are compared with the MILEAGE allowance the sold products granted, summed over the whole hire including extensions. Kilometres over the allowance are charged at the per-kilometre rate frozen on the rental product when it was sold. The Check In step shows the figure before you post. If no charge appears, the step says why:
| Shown | Meaning |
|---|---|
| No odometer reading | A reading is missing at check-out or check-in. Nothing can be charged |
| Unlimited kilometres | The products set no cap |
| No excess | Within the allowance |
| No settlement element | The product has no per-kilometre element to charge under. Add a manual charge if the contract allows |
| Unpriceable | The frozen rate cannot be applied. Ask a manager |
Late returns
Section titled “Late returns”A vehicle returned after the booked return time is still checked in the same way. Torque does not charge a late fee by itself. If the customer kept the car for extra days, extend the booking to the actual return before checking in, so the days are priced and billed.
Set to Completed
Section titled “Set to Completed”Set to Completed in the Status menu is the shortcut: Odometer and Fuel Level if you have them, no pictures, and the booking is COMPLETED. Excess kilometres are still worked out if both odometer readings exist.
